How to Compare Water Softener Quotes: A Columbus Homeowner's Checklist
Receiving two or three water softener quotes and finding they differ by $1,000 or more is common in Columbus. The difference is not always explained by quality. Sometimes it reflects different equipment tiers, different installation inclusions, or different business models. This checklist helps you compare quotes on equal terms.
Disclosure: Pure Aqua Columbus sells water-treatment systems. This guide is written to help prospective customers make informed decisions — including when that means confirming a competitor's quote is fair.
Before you compare: confirm your water test results
A quote that is not based on an actual water test is a guess. Columbus city water runs approximately 10–12 grains per gallon (gpg) of hardness, but your specific address, building age, and whether you are on city or well water all affect what you need.
Ask each company: What water test results is this quote based on? If the answer is "we use Columbus averages," that is a yellow flag. A reputable company will test your water before recommending equipment.
Source: Columbus Division of Water publishes annual water quality reports at columbus.gov/utilities. The 2025 report lists hardness at 10.5 gpg for the Columbus distribution system.
The checklist
1. Equipment sizing
| Question | What to look for |
|---|---|
| What grain capacity is being quoted? | For a family of four on Columbus city water, 32,000–48,000 grains is typical. |
| How was the size calculated? | Should be based on your household size, water hardness (gpg), and daily usage. |
| Is the system demand-initiated or timer-based? | Demand-initiated regeneration (metered) is more efficient and is the current standard. |
An undersized system regenerates too often, wasting salt and water. An oversized system may develop resin channelling over time.
2. Treatment purpose
| Question | What to look for |
|---|---|
| Does the quote address all your water problems? | A softener removes hardness. It does not remove iron above roughly 0.3 ppm, chloramines, PFAS, or bacteria. |
| If iron is present, is an iron filter included or quoted separately? | Iron above 0.3 ppm requires pre-treatment before the softener. |
| If you want better drinking water, is an RO system included? | A softener does not produce drinking-quality water on its own. |
3. Installation inclusions
Ask each company to confirm in writing what is included:
- Bypass valve
- Drain line connection
- Brine tank and salt (initial fill)
- Electrical connection (if required)
- Removal and disposal of old equipment
- Permit (if required by your municipality)
Items quoted separately can add $200–$600 to the final price.
4. Maintenance requirements
| Question | What to look for |
|---|---|
| What type of salt does the system require? | Pellet, crystal, or block — and what is the estimated monthly cost? |
| How often does the resin need servicing or replacement? | Quality resin lasts 10–15 years with proper maintenance. |
| Are there annual service fees? | Some companies bundle annual service; others charge separately. |
| What does a service call cost outside the warranty period? |
5. Warranty coverage
Read the warranty document, not just the summary. Key questions:
- What is covered — parts only, or parts and labour?
- What voids the warranty (e.g. using the wrong salt, DIY repairs)?
- Who performs warranty service — the dealer, the manufacturer, or a third party?
- What is the response time for a warranty claim?
A 10-year parts warranty with a 1-year labour warranty is meaningfully different from a 10-year parts-and-labour warranty.
6. Total ownership cost
The purchase price is one number. The five-year cost of ownership is another. Estimate:
- Monthly salt cost × 60 months
- Annual service fee × 5 years
- Any lease or financing interest
A $2,500 system with $30/month in salt and a $150/year service fee costs approximately $4,150 over five years. A $3,500 system with $15/month in salt and no service fee costs approximately $4,400. The cheaper upfront option is not always cheaper overall.
Red flags in a water softener quote
- No water test before recommending equipment
- Pressure to decide the same day
- Vague warranty language ("lifetime warranty" with no written terms)
- Lease agreements with escalating monthly fees
- Refusal to provide a written itemised quote
What to do if quotes are hard to compare
If two quotes use different brand names, different grain capacities, or different installation scopes, they are difficult to compare directly. Options:
- Ask each company to re-quote on the same specification (e.g. "48,000-grain demand-initiated softener, installed, with bypass valve and drain connection")
- Request a free second opinion from a third company — including Pure Aqua Columbus at (614) 476-8711 or via our second opinion request form
